Convert Inventory Files to Google Docs Format

The following instructions were created specifically for your inventory files in Numbers format, but could be used for several file types (i.e Pages, Numbers, etc.).


1) Find your inventory files in your inventory folder on your Google Drive.  Select all of your files, and click “Download…” from the “More” menu.







2) Click Download.  Your files will be compressed into one .zip file.





3) Choose what to name and where on your computer to save your file.  Your Desktop is a good location choice, and something like “inventory_docs” will do for a file name.  Click Save.





4)  Go to your Desktop and double-click your “inventory_docs.zip” file.





5)  Your zip will uncompress your inventory files into a folder of the same name.





6)  Open your uncompressed folder.  Select all of your files, or open them one at a time with Numbers.  Pro tip:  to select all of your files, press cmd-A.  To ensure you open the files with Numbers, hold Ctrl and click on one of the selected files...select Numbers from the Open With menu item.





If any of your files are in AppleWorks format, it is a toss-up if Numbers will be able to recognize the file.  If you still need this AppleWorks document, let your tech department know and we will do our best to try and recover this file.


7)  In Numbers, for each file, select “CSV…” from the “Export” sub-menu from the “File” menu.





8)  Click Next...





9)  Name your file, or keep the same name (recommended).  Choose where to save your file (the same folder on your desktop works fine).  Click Export.





10)  Repeat steps 7-9 for each inventory file.


11)  Go to your Google Drive in your web browser (drive.google.com).  From the Settings menu (gear icon), ensure “Convert uploaded files to Google Docs format” is checked in the “Update settings” sub-menu item.


You may also want to check the “Confirm settings before each upload” option.  This will give you the option of whether you want to convert your uploaded files to Google Docs format in the future.





12)  Select your converted files and drag them into your inventory folder on your Google Drive.





13)  If you selected the “Confirm settings before each upload” option in step 11, the following dialogue box will appear.  Select “Start upload.”  If you didn’t, proceed to the next step.





14)  Watch as your files upload to your Google drive...





15)  Open each of your new inventory files (the ones with a green icon) to make sure your inventory information is still within.  Note: Upon opening your converted files, the columns will all be the same width, so feel free to adjust your spreadsheet columns to your liking.





16)  Once you have confirmed that your inventory information has survived the conversion, select your old numbers files and delete them by clicking the trash can icon.



17)  You have successfully converted your old inventory files to Google format and will edit them in Google Drive instead of Numbers.  


As a reminder, if you have old AppleWorks files, like the .cwk file pictured below, that did not open in Numbers, and you still want the information in those files, contact the tech department and we will try assist in recovering those files.
