How to Convert Your iWork Documents to Google Docs

If you have a large number of Pages, Numbers, and Keynote documents that you need to convert to Google Docs, you are in the right place.

If you haven't already done so, install the "Convert iWork 2 Google Tool" from your Self Service app.

Two apps and a read me file will be installed on your Desktop. Since you are using this post as your guide, you can ignore the read me file. The apps are pictured right.

Before you begin:
  1. If you are running Mac OS X 10.9 Mavericks, then you will need to work with your tech team to finagle using a computer running Mac OS X 10.7 Lion to complete this task.
  2. Open Pages, Numbers and Keynote, then close any individual documents that you may have open, as open documents will interfere with the conversion process.

If you learn better by watching, view how to convert your documents here.

Converting Pages

You can’t directly convert Pages documents to Google Docs, so we must first convert them to Microsoft Word files.
  1. Create a Folder on your Desktop and put all of the Pages documents that you would like to convert into that folder.
  2. Drag that folder on top of the Pages2Word app on your Desktop, and watch each document open and close on its own. The resulting Word documents will be found in a folder on your Desktop called “was_Pages_now_DOC”.
  3. Login into your Google Drive in a web browser, and browse to, or create, the folder you would like your converted documents to reside.
  4. Ensure that you have checked the “Convert uploaded files to Google Docs format” and “Confirm settings before each upload” options.
  5. Drag your Word files from the “was_Pages_now_DOC” folder to your chosen folder on Google Drive in your web browser. A status menu will appear showing you the status of your uploaded and converted files.

Converting Numbers

You can’t directly convert Numbers documents to Google Docs, so we must first convert them to Microsoft Excel files.
  1. Create a Folder on your Desktop and put all of the Numbers documents that you would like to convert into that folder.
  2. Drag that folder on top of the Numbers2Excel app on your Desktop, and watch each document open and close on its own. The resulting Excel documents will saved in the same folder as your original Numbers documents.
  3. Login into your Google Drive in a web browser, and browse to, or create, the folder you would like your converted documents to reside.
  4. Ensure that you have checked the “Convert uploaded files to Google Docs format” and “Confirm settings before each upload” options. If you completed this step in the Pages instructions above, you won’t need to do it again here.
  5. Drag your Excel files from the folder on your Desktop to your chosen folder on Google Drive in your web browser. A status menu will appear showing you the status of your uploaded and converted files.

Converting Keynote

The procedure for converting your Keynote files to Google Docs is not automated, but the steps for converting them one at a time are below. Keynote presentations must be converted to PowerPoint prior to converting to Google Docs.
  1. Open your Keynote file.
  2. Select File -> Export -> PPT…
  3. Click Next, then Export.  The resulting PowerPoint usually lands in your Documents folder, along with a folder of media that was previously embedded in your Keynote if media, like movies, were present.
  4. Ensure that you have checked the “Convert uploaded files to Google Docs format” and “Confirm settings before each upload” options. If you completed this step in the Pages or Numbers instructions above, you won’t need to do it again here.
  5. Drag your PowerPoint file from your computer to your chosen folder on Google Drive in your web browser. A status menu will appear showing you the status of your uploaded and converted files.
If a folder of associated media was created, as in Step 4, you will need to place them in your Google Presentation where they need to go by hand.

If you have media to place:

There are several possible scenarios of different media that you may have to place, but we will take a look at movies. The best way to embed movies in a Google Presentation is using your Youtube account.
  1. Open your Youtube account by selecting it from your Google Apps button (see image right).
  2. Click the Upload button, then drag your movie files onto the space requesting this.
  3. Select and copy the URL associated with the movie you would like to place in your Google Presentation.
  4. Navigate to the slide where you would like to place your movie, then select Insert -> Video.
  5. Click the “URL” button, then paste the URL into the box and click Select.
Your movie is now embedded on that slide and can be resized and relocated to your pleasure.

Congratulations!  You have just gone Google and you are ready to share and collaborate your editable files in the cloud with Google Drive.
